The Somali Centre for Family Services (SCFS) provides exceptional support to newcomers and vulnerable populations across Ottawa. However, their ability to serve the community was severely compromised by an aging and unreliable on-premises IT infrastructure. The breaking point came when their local Exchange server crashed, bringing all email communication to a sudden and complete halt. This outage was not just an inconvenience; it was a critical failure that paralyzed their operations and cut them off from clients, partners, and vital funding sources.   • Constant System Failures: The server crash was the culmination of ongoing problems. SCFS was plagued by frequent email outages and system instability, which eroded productivity and trust in their IT.

This allowed us to map out their data, identify all security vulnerabilities, and understand the unique needs of their 200 users (including 50 active staff and volunteers). A pivotal part of our strategy was to work with Microsoft to have SCFS officially designated as a non-profit organization. This was a critical step, as it unlocked access to heavily discounted and donated Microsoft 365 licenses, making a world-class technology platform financially accessible for the organization.
  2. Meticulous and Phased Migration With a clear plan in place, our team executed a carefully phased migration to ensure zero downtime and a seamless transition for all users. We securely migrated all 200 mailboxes, calendars, and contacts from the failed Exchange server to Exchange Online. Simultaneously, we moved all their organizational data from disparate file servers into a unified and secure SharePoint Online and OneDrive environment. Throughout the process, we provided comprehensive training and ongoing support to ensure every user felt confident and empowered on the new platform.
